Overview
Stolt Offshore designs, procures, builds, installs and services a complete range of offshore surface and subsurface infrastructures for the offshore oil and gas industry worldwide. More than 6,000 employees are located in regions with offshore oil and gas activity, Stolt Offshore is one of the largest truly integrated offshore and sub sea construction companies in the world. The secretary at Stolt Offshore is spending a significant amount of time preparing and delivering confidential ship schedule documents. Due to this time intensive process a second person was hired to join their Administration team. Each week the secretary prepares seven different issues of the ship scheduled to be distributed to 200 Stolt Offshore employees. The schedules are emailed out in groups with those receiving the same schedule listed on the same email. Business Challenge Stolt Offshore was looking for a tool that would automate this tedious process and include an individual watermark on the confidential file so when printed out, the document would be marked with the recipient’s name. Solution Stolt Offshore contracted Adlib's Professional Services Group (PSG) to write a custom Visual Basic script for Express Server. This script automatically creates PDF watermarks for each recipient, based on information stored in a text file, and allocates the appropriate ship schedules to each person. The text file is editable should any person leave or change position, enabling the distribution list to be immediately changed based on employee fluctuations. To initiate the process, the master ship schedule documents are placed into the Input folder of Express. The custom script automatically sends each recipient an email containing individually watermarked PDFs of the schedules they should receive. The watermark of the recipient’s name will identify the individual should any recipient be careless enough to share or show the confidential information. The combination of Express Server and the custom script provided by Adlib's PSG saves Stolt Offshore a great deal of time and also adds an element of security and control to the document distribution process.
